Clear responsibilities. Practical choices.
This notice describes the data involved in the TalkVance service and how we handle it. It should be read alongside the Terms of Service and your organization's own privacy notice where applicable.
Who we are and what this policy covers
TalkVance is operated by TalkVance Technologies, a sole-proprietorship business based in Bengaluru, Karnataka, India. This Privacy Policy explains how information is processed through talkvance.com, associated meeting and collaboration services, and our public support service.
An organization using TalkVance decides who to invite, which content to share, how its workspace is configured and who is authorized to access it. TalkVance operates the platform and processes information to provide those services, while also administering accounts, security, support and service operations. Particular organizational arrangements may be covered by a separate written agreement.
This notice applies to users, invited meeting guests, organizational members and people who contact us. If you participate in a meeting organized by someone else, the organizer may also have privacy responsibilities and may apply additional organizational notices.
Account, identity and workspace information
When you register or are invited, we process details such as your name, email address, password verification material (not your readable password), account identifiers, email-verification and recovery state, session information, membership, assigned role, organization settings and preferences.
Authorized workspace administrators can add and manage team members, invitations, roles, class access, branding and permitted workspace policies. Other members may see identity, role or presence information needed for collaboration, as determined by their permissions.
Meetings, conversations and shared content
A meeting or call can involve its title, schedule, meeting link or code, attendance and participation events, audio/video connections, device selections, chat and shared material. Workspace collaboration can include direct and group messages, Workstream/channel content, permitted file attachments, tasks, calendars, classes, Live Events, participant details and meeting notes.
Messages, documents and other submitted material can be stored to provide the conversation history and permitted workspace features. Participants and administrators may see content when their current access, the meeting policy or your sharing choices allow it. No guest invitation or forwarded URL by itself overrides the applicable authorization rules.
Recording, transcription and intelligence
Meetings are not automatically recorded solely because they use TalkVance. Recording, transcription, live captions and meeting intelligence depend on meeting-level controls, consent and the activated plan or service entitlements. A meeting organizer is responsible for giving legally required notices and obtaining required participant permissions before recording or transcribing.
Where enabled and requested, meeting audio, recordings or selected transcript/content may be processed by configured media, speech-to-text or AI services to deliver recording, captions, transcript, recap or evidence-based question answering. AI output may be incomplete or inaccurate and must be reviewed before important decisions or actions.
Free workspaces do not currently include recording or AI request allowances. Turning off optional recording or transcript processing restricts future processing under the applicable workflow, but does not automatically remove historical content already lawfully retained.
Technical data, cookies and diagnostics
We process operational information such as browser and device characteristics, connection and session events, security and application logs, request timing, diagnostics, failed login attempts, and usage-metering records. Internet-protocol addresses or related network information may be processed by hosting or security infrastructure. Public support rate limiting uses a keyed fingerprint rather than storing a raw visitor IP address in the support database.
TalkVance uses session and security cookies, including an HTTP-only signed-in session cookie and an anti-CSRF cookie. Invited guests and public support conversations may use separately scoped access cookies. Some browser preferences or launch hints can be held in local browser storage. These are used for authentication, session continuity, security and requested product functions.
We may measure service activity and page usage for diagnostics, security and product operations. This policy does not claim that every infrastructure or external provider is hosted in India, nor that all analytics are necessarily anonymous. We do not use private meeting content for behavioral advertising.
Why we use information
We use information to create and secure accounts; verify identity and invitations; provide meetings, live interactions, chat, workspace access, calendars, recording and requested intelligence; enforce permissions and limits; prevent abuse; investigate incidents; respond to support or privacy requests; and maintain accurate operational records.
Where a feature specifically requires permission or consent, it should only be used in accordance with those controls and applicable law. Where TalkVance is acting on an organization's instructions, that organization remains responsible for its own decisions about people, participants and content. We may process and retain limited records where legally required or reasonably necessary to investigate security or misuse.
Who may receive information
Content may be available to authorized hosts, invited attendees, relevant channel or workspace members, organizational administrators, or designated support personnel based on their roles, active authorization and the function used.
We use or may use infrastructure providers for hosting, connectivity, media transport, file and recording storage, service email, speech transcription and optional AI processing. Each provider receives information necessary for the enabled service. A customer-enabled calendar connection or approved customer-application integration may exchange information according to its permissions and configuration.
We may disclose information when required by law or lawful process, to protect people and platform security, or as part of a properly notified business transfer consistent with applicable law. TalkVance does not sell private meeting recordings or chat messages to advertising buyers.
Data locations and cross-border processing
TalkVance operates from India, but hosting, media, storage, calendar, email, transcription and AI providers may operate in other countries or process information through infrastructure outside India. We do not represent that all customer information stays exclusively within India.
Any cross-border processing is subject to applicable legal requirements and the relevant provider's service arrangement. Organizations with a specific data-residency requirement should discuss it with TalkVance before onboarding sensitive workloads.
Security and confidentiality
TalkVance uses authenticated sessions, workspace-scoped authorization, role and meeting-permission checks, protected service endpoints and transport security. Certain stored tokens and provider credentials use restricted or encrypted storage, and private attachment uploads may be scanned for malware where that feature is enabled.
No online service can guarantee absolute security. TalkVance does not claim ISO 27001, SOC 2 or other certification that has not been independently completed. Do not submit passwords, payment-card details or unnecessary sensitive records through the public support form.
Retention, deletion and backups
Workspace messages, private files, recordings and transcripts are governed by the relevant organization's policies and product retention processes. Available settings can specify different periods for these categories. A zero-day message-retention setting represents no automatic expiry under that setting rather than immediate deletion.
Public support conversation access in the same browser ordinarily expires after 30 days. The support system schedules deletion of the associated conversations approximately 90 days after their creation, subject to the cleanup service completing its work and any lawful exception. Operational security and rate-limit records have separate schedules.
Account and membership records, metering and audit entries may be retained for service integrity, lawful administration, billing records, disputes or security. Expired or deleted live content may remain temporarily in safeguarded backups or immutable operational records until the relevant recovery or legal retention process completes. We do not promise immediate deletion from every backup.
Your privacy choices and requests
You can manage some profile settings and participation controls in your account or meeting interface. Depending on the applicable law and your relationship to an organization, you may request information about your data, correction, access, withdrawal of an optional consent, or deletion where permitted.
Send a request using talkvance.com/contact and select a suitable support category; state that it is a privacy request. We may need to verify your identity or ask the appropriate workspace administrator to approve an action involving organization-controlled material. We handle requests in accordance with applicable law, security requirements and retained legal obligations.
Ending a session, leaving an organization or withdrawing optional consent does not necessarily erase another participant's lawful copy of a message, archived records or data that we must retain for legal or security reasons. If a concern remains unresolved, you may use complaint remedies available under applicable law.
Children and education workspaces
TalkVance includes limited education and training workspace functions, but general student assignments, submissions and grading are not enabled. Child-directed processing and onboarding require additional age, guardian, institutional and privacy safeguards and should not be assumed available merely because a class or school option is visible.
Do not use the platform to collect children's information in an unsupported workflow. An organization proposing a minor-facing deployment should first obtain a documented review of the relevant protections and applicable consent obligations.
Changes to this Privacy Policy
This Privacy Policy is effective from 17 October 2026. The currently published version is available at talkvance.com/privacy. We may update it when features, providers, practices or legal requirements change.
We will update the effective or revision date and communicate material changes through an appropriate available channel where required by law. Continuing to use a feature does not replace any additional consent that may be legally necessary for a new processing purpose.
Need help with a privacy request?
Send a request through the same public support service used for customer questions. Include enough detail to identify the account or workspace, but do not share passwords or sensitive documents in the initial message.
